How to log into the platform
1.1.2 - User Management & Permissions
Expanding your team is simple, navigate to the User Management tab to invite colleagues and manage their access.
When adding users, you can choose to grant them access across your entire organisation or restrict them to specific sites:
-
Organisation-Level Access: This is the first page you see when you land on the User Management screen. Adding a user here allows them to see all sites within the organisation. (Note: What they can actually do within those sites will depend on the Role you assign them).
-
Site-Level Access: If you need to restrict visibility, you can manage permissions at the site level. A user added at this level will only see the specific sites they have been invited to (for example, 2 out of 5 sites). They will not be able to view or access the rest of the organisation's sites.
Add a new user
-
Click the + Invite User button.
-
Enter the user’s email address.
-
Select the appropriate permission level for the user (see table below).
-
Click Send Invitation.
User Roles & Permissions
Choose the role that best fits your team member's responsibilities:
| Role | Permission | Best for: |
|---|---|---|
| Member | Full access to manage sites, data and reporting and invite additional users | Project Managers & Team leads |
| Viewer | Review site information and data but cannot edit or delete | Stakeholders / Auditors |
| Collector | Review site information and data but cannot edit or delete | Data collectors / Field teams |

How to manage your users and their permissions
💡 Pro Tip: Rapid Onboarding For field teams, use the + Open Invite button to generate a QR code. Collectors can scan this code to join the project instantly without waiting for an email invite. (Mobile App Only)
⚠️ Security Note: Handle with Care
Be selective when sharing Open Invitation codes. Anyone with access to the code can collect, upload, or amend data within the app.
-
Avoid posting these codes in public forums or sending them to large, unvetted groups to maintain the integrity of your ground-truth data.
-
If you prefer an extra layer of security, you can share the invitation code but choose to manually approve users before they are granted permission to view sensitive site data.
